Square POS CSV Export: Column Layout & Reconciliation Guide
Square batches all transactions from a given day into a single bank deposit, so your bank statement shows one lump sum while Square's CSV has dozens of individual rows for that same amount. Reconciling at the transaction level produces 100% unmatched exceptions — every single row appears as a discrepancy. This tool groups Square rows by date, sums Net Total per day, and outputs one row per deposit to match exactly what appears on your bank statement.
CSV format at a glance
- Date format: MM/DD/YYYY
- Amount layout: one signed amount column
- Net Total is the amount deposited to your bank after Square fees. Use Net Total, not Gross Sales, for reconciliation.

Common import issues
- Square batches deposits — multiple transactions during the day are grouped into a single bank deposit. Your bank statement will show one lump-sum deposit per day, not individual transactions. Reconcile at the daily batch level, not per transaction.
- Square's CSV has 30+ columns. Only Net Total, Date, and Description are needed for bank reconciliation. The rest are for sales reporting.
- Square fees are already deducted from Net Total. Do not subtract Fees separately or you will double-deduct.
- Refunds appear as negative Net Total rows. They will reduce the daily batch deposit amount.
Useful setup tips
- Download the "Transactions" report (not the "Sales Summary") for row-level data.
- Map Date → Date, Net Total → Amount, Description → Description. Ignore all other columns.
- When reconciling against your bank statement, group Square rows by date and sum the Net Total per day to match the single daily deposit on the bank side.
